Privacy Policy

This policy explains what information Bellhand handles, why, and what we do with it. It covers our website at bellhand.com, the Bellhand console at app.bellhand.com, and the Bellhand phone agent that answers calls for businesses that use Bellhand.
1. Who we are
Bellhand makes software for service businesses: a phone agent that answers calls and books jobs, and a console for clients, requests, quotes, jobs, schedules and invoices. In this policy, “Bellhand”, “we” and “us” mean the operator of the Bellhand service. A “business” is a company that uses Bellhand.
2. Two different roles
Information about a business’s customers. When a business uses Bellhand, the information about its callers, clients and leads belongs to that business. We process it on the business’s behalf and under its instructions, as its service provider. If you are a customer of a business that uses Bellhand, that business’s own privacy policy describes how it uses your information, and you can send your requests to it. We help the business respond.
Information about our own users and visitors. For people who sign in to Bellhand and for visitors to bellhand.com, we decide how the information is used, as described in this policy.
3. Information we handle
Business accounts
- Name, work email, phone number and role of each person on a business account.
- Company details: name, address, phone number, logo and settings.
- Sign-in data. Passwords are stored only in hashed form.
Information a business keeps in Bellhand
- Its customers’ names, phone numbers, email and service addresses.
- Requests, jobs, schedules, quotes, invoices, notes, comments, photos and files.
- Names and signatures that customers add when they approve a quote or an invoice.
- Ratings that customers leave after a visit.
Calls answered by the phone agent
- The caller’s phone number, a written transcript of the conversation, and the agent’s summary of what the caller needs and what was booked.
- Bellhand does not record call audio today. Audio is processed in real time so the agent can understand and answer, and only the text is kept.
Leads from connected marketplaces
When a business connects its Thumbtack account, we receive the leads and messages Thumbtack sends for that business. A lead can include the customer’s name, phone number, address, the details and photos of the request, and the price the business paid for the lead. We use this information only to provide Bellhand to the business that connected the account.
Payments
Card payments, including payments by a business’s customers for invoices, are processed by Stripe. We receive the amount and the status of the payment, not the full card number.

Messages you send to our support and our replies.
Technical information
- IP address, browser type and time of requests, in server logs.
- Cookies that keep you signed in to the console, protect forms and remember interface settings such as a collapsed menu. We do not use advertising cookies.
The live demo on bellhand.com
If you use “Talk to it yourself” on our website, your browser sends your voice to our phone agent in real time, and the agent answers as a made-up business. The transcript of the conversation is stored as a demo call. We use your IP address to prevent abuse of the demo.
4. How we use information
- To provide the service: answer calls, book jobs, show schedules, send quotes and invoices, take payments, and receive leads from connected accounts.
- To keep the service secure and working: sign-in, role-based access, logs and prevention of abuse.
- To support users and to tell businesses about changes to the service.
- To meet legal obligations.
5. Who we share information with
We share information only with providers that help us run Bellhand, and only as much as their job requires:
- Hosting. Our servers are run by Hetzner Online in Germany.
- Voice infrastructure. LiveKit carries the audio of calls handled by the phone agent.
- Speech and language models. Speech recognition, speech synthesis and language-model providers process call audio and text so the agent can understand the caller and answer.
- Telephone carriers connect calls to the phone agent.
- Stripe processes card payments.
- Google Fonts serves the typefaces on the bellhand.com home page, so your browser requests them from Google.
A business can connect other services to its account, such as Thumbtack, or add its own Google Analytics to its online booking page. Information then flows between Bellhand and those services as the business sets it up, under their terms.
We may also disclose information when the law requires it, or to protect the rights and safety of people and of the service.
6. Where information is stored
Bellhand’s servers are located in Germany. Some of the providers listed above may process information in the United States or other countries.
7. How long we keep information
- Call records, including transcripts and summaries, are kept for five years by default. They settle questions about what was said on a call.
- Other information of a business is kept while its account is active. When a business asks us to close its account, we delete or anonymize its information, except where the law requires us to keep it.
- Server logs are kept for a limited time for security and troubleshooting.
8. Your choices and rights
- People with a Bellhand account can see and update their information in the console, and businesses can export their data with the export tools in the console.
- You can ask us to access, correct or delete your personal information by writing to support@bellhand.com. If your information came to us from a business that uses Bellhand, we pass your request to that business or act on its instructions.
- If you live in California, you have rights under California privacy law, including the right to know, correct and delete personal information, and the right not to be treated differently for using these rights. We do not sell personal information or share it for cross-context behavioral advertising.
We verify requests before acting on them.
9. Security
Connections to Bellhand are encrypted with HTTPS, access in the console depends on each person’s role, and passwords are stored in hashed form. No system is perfectly secure. If a security incident affects your information, we will notify you as the law requires.
10. Children
Bellhand is a tool for businesses and is not directed to children under 16. We do not knowingly collect information from children.
11. Changes to this policy
We will post any changes on this page and update the date at the top. If a change is significant, we will also tell businesses in the console.
